Recruitment Technology Platform Selection & Implementation

The Brief

iLUKA is a specialised event agency, developing and delivering sponsorship and hospitality delivery at global events including, every consecutive Olympic Games since 1992, 5 FIFA World Cups™, 4 UEFA European Football Championships, 4 Rugby World Cups and The English Premier League since 2005. Such a business model has significant peaks and troughs in terms of recruitment activity when staffing up for major events. Historically the majority of this activity had been done manually, however, as the business has grown and events and geographies became more complex, there was the requirement for a more structured process and approach and the introduction of a recruitment technology platform to support that. iLUKA approached True North to enlist their help, knowledge and expertise in selecting and implementing a fit for purpose technology solution.

The Challenge

iLUKA’s requirements were very much driven by the individual event locations and requirements, so the chosen system needed be Cloud Based and accessible from different locations, time zones and geographies. It also needed to have multiple language capability, in particular with the next two events being the Sochi Winter Olympics and the FIFA World Cup in Brazil, it meant that has a minimum iLUKA needed to start with multi lingual capability for English, Portuguese and Russian as key languages and the system therefore needs to be able to respond to future expansion for events in new countries. Furthermore, different events and organising committees had varying accreditation requirements and work flows, so the system needed to have the flexibility to accommodate a wide range of changing demands. iLUKA had existing manual complex reporting requirements and they wanted a system to be able to automatically generate these reports, saving significant time and manual intervention. Finally, due to the high profile nature of the events the iLUKA are present at, they receive an exceptional number of applications and needed a platform to help manage this volume as well as a robust talent banking tool for candidates for future events.

The Solution

With such a complex brief, True North conducted detailed review meetings with all the iLUKA stakeholders pulling together a detailed scoping document of their requirements. Upon fully validating this with the iLUKA team, we then went to market to research, source and procure a fit for purpose Recruitment solution for iLUKA. Having provided a detailed shortlist of options, and a full “beauty parade” of the providers, True North in partnership with iLUKA selected a vendor. True North then project managed entire ATS implementation, as the project expert on site. Liaising with the provider to ensure a seamless integration. True North also delivered training sessions to the iLUKA team to ensure that the system was successfully embedded in the organisation. This solution was offered at a fixed price solution for iLUKA which included, research and procurement of the platform, full implementation and project management and training and aftercare and first line user queries.
